Managing Your Bot Operators
Best Practices for building a reliable Bot Operations Team
To help ensure great events, it is important to have a well-managed Bot Operations Team where everyone understands what their roles are. In this guide, we'll review the privileges for each role, how to assign licenses and roles to your team, and tips for managing a success team.
Role Privileges
Before we dive into managing licenses and users, let's define what each available role is:
- CourseSetterViewOnly - Often referred to as "ViewOnly," this user is only able to see shared Layouts and current Lat/Long of the Bots. This role has no control over the Bots while allowing the user the see where they are.
- MarkOperator - Users assigned this role are able to create and view Course Layouts, control all Bots, check wind instruments (if equipped), check Battery status and, if necessary, use the Off-Grid Remote and HorizonLink features. Since this role allows for Bot control, it should only be assigned to users who are familiar with operating the Bots.
- MarkManager - A MarkManager has all the privileges of the other roles, as well as the ability to edit Bot information, and add/change/remove other users from the organization.

User Management
The key to good user management is understanding which users need access. For example, a user who has operated Bots before, taken our Bot Master 1 & 2 Courses, or needs to control Bots during your event would need the MarkOperator role. For users who simply need to observe the course and Bots, the CourseSetterViewOnly is the ideal role.
While making everyone a MarkOperator "just in case" sounds like an easy solution, we advise keeping the roles of MarkOperator and MarkManager limited only to the people in the organization who actually need them. This helps prevent mistakes such as unintended or conflicting commands being sent to the Bots, possibly ruining your event. Carefully considering the role assigned is one of the best ways to help prevent operator errors.
Assigning Roles To Users
As the MarkManager, you are able to add new users to your organization, assign roles, and modify or remove existing users.
To add a new user and assign their role:
- Open your Commander App, click "Menu" to see the Settings tab, and select "Configure Bots/Users"
- Scroll down to the "Operators" section. Here, you will see the current list of your operators. At the bottom of the list, you have the option to "Add New Record."
- By clicking on "Add New Record," you will be prompted to type your new user's email address and choose a role for them.
If the user you added is new to our system, they will receive an automatic Welcome Email in minutes. They can read this email for more information and instructions to sign in.
If a user is visiting to help with Bot operations during an event but already has an account on our system and needs access to your organization's Bots, we have a Guest option. To take advantage of this, you can add them in the "Guests" section, rather than the "Operators" section. They will be have all the same privileges in your org as they do in their home org.
Team Tips
- Keep users with the MarkManager and MarkOperator roles to a minimum. Depending on the size of your club and number of Bots being deployed, having 1 to 3 MarkManagers and 1 to 6 MarkOperators is suggested. Smaller clubs with less Bots may only need 1 of each role, whereas larger clubs may need more.
- If a user from another club is visiting to help with Bots at an event, it is best to use the Guest option.
- Periodically check your list of Operators in the app and delete any individual accounts that no longer need access.
- Any MarkManager or MarkOperator in your org should be very familiar with Bots and their operation, including setup and teardown. If they have not already, ensure that they have completed the Bot Master 1 & 2 Courses before assigning them a role.
- Schedule practice time! If you and your team are fairly new to operating Bots, the best thing you can do is complete the Bot Master Courses then schedule practice time with your Bots before your first event.
